EXECUTIVE PERSONAL ASSISTANT TO CEO

Salary:  negotiable depending on experience

As a well-known and established national franchised network, the first of its kind in South Africa with a reputation for excellence, Business Accounting Network is recruiting an Executive Personal Assistant to the national group’s CEO based in our small head office in Tokai, southern suburbs Cape Town to commence either 1st February or 1st March 2019.

What we are looking for in you:

  1. Outstanding organizational and time management skills;

  3. Ability to use your own initiative, action orientated, be extremely self-sufficient and able to make decisions on your own if required;
  4. Good level of commercial business acumen;
  5. Highly focused on the company’s goals and objectives;
  6. Ability to multi-task and prioritize daily work;
  7. Ability to identify and organize tasks months in advance;
  8. Great attention to detail;
  9. Have strong relationship building skills;
  10. Be a great team player who is flexible and able to adapt to working with different franchisees across the country;
  11. Excellent English, both verbal and written;
  12. 5 to 10 years proven experience as personal assistant (not negotiable);
  13. Computer proficiency including internet, MS Office and advanced Word and average Excel skills;
  14. Own reliable motor vehicle and valid drivers’ license (not negotiable);

What you’ll be doing for the CEO:

  • Set up meetings, re-schedule meetings and full diary and calendar management;
  • Synchronize calendar and diary between electronic devises;
  • Organize events, national and international travel, accommodation and conference arrangements;
  • Co-ordinate all meetings and external service providers diary invitations;
  • Maintain marketing statistics
  • E-mail box management;
  • Running both personal and business errands;
  • Various personal tasks for the CEO;
  • Source office supplies, promotional items and more;
  • Liaise with the company’s SEO, web-site and design agents;
  • Switchboard (2 lines) – screen all telephone incoming calls;
  • Maintain all office and filing systems and devise new systems if needed;
  • Provide administrative, invoicing and data capturing support to the financial function;
  • Produce and maintain reports;
  • Handle requests and queries appropriately;
  • Manage and resolve IT problems with company’s IT service provider;
  • Prepare agenda’s, attend meetings, keep and prepare minutes for distribution;
  • Copy all training material and prepare packs and “goodie bags” for franchisees;
  • Prepare/copy and bind all new Franchise Agreements and file;
  • Prepare both internal and external company newsletters;
  • Must be willing to travel nationally and work on the odd weekend;
  • Constantly follow-up on any outstanding tasks.
